(or "EZC", or "EZC Group"), Registered office at 1 rue de l'Industrie L-3850 FOETZ Luxembourg, registered in Luxembourg under N° B140949 with a registered capital of €31500 has a commitment to your privacy and provides you the following privacy policy applicable to the online services available at www.teamdocsonline.com, secured.teamdocsonline.com and cloudservices.easyconcerns.com

1) Privacy Commitment.
We are committed to protecting your privacy and developing technology that gives you a safe online experience.

2) Tracking Technologies and navigational information.
A cookie is a small text file that is stored on a user's computer for record-keeping purposes.

2-a) Case of our information, support and sales web site www.teamdocsonline.com and www.easyconcerns.com:
We might use cookies to facilitate the navigation with our Web Site, but you remain anonymous until you sign in to access a support or sales zone of the Web site.  Some of our business partners (such as a web analytics company) use cookies and tracking scripts on our site. We have no access to or control over these third party technologies. This privacy policy covers the use of cookies by EZC only and does not cover the use of cookies by any third parties.

2-b) Case of our inline services
EZC workspaces use flash cookies that are session-based and persistent-based. Session cookies exist only during one session. They disappear from your computer when you close your browser software or turn off your computer. Persistent cookies remain on your computer after you close your browser or turn off your computer.
If you have chosen to identify yourself to an EZC workspace service, our servers will send a flash cookie containing information to allow us to uniquely identify you. This cookie contains the reference and name of the last viewed document, file or booklet, your user id, an encrypted session id identifying you, and optionaly your encrypted password if you wish that the system reconnects you automatically, even after more than 2 hours of inactivity. If you don't select this option ("remember me" option), we never store your encrypted password. Flash cookies are different from browser cookies because of the amount of, type of, and how data is stored. Cookie management tools provided by your browser will not remove Flash cookies, using the Flash configuration panels is required.
We might collect navigational information once signed in (not using any cookies nor flah cookie), such as features used or preferred options. We also track IP addresses for security purposes and geographical analysis.

3) Personally Identifiable Information Collected. No information that can uniquely identify an individual is gathered by merely visiting the www.teamdocsonline.com and www.easyconcerns.com Web sites.  Personally identifiable information is only collected when you are subscribing to a workspace or registering to a teamdocsonline account as follows:
- Name
- Email address
- Phone number
- Organization name
For billing purposes, we might collect the exact address, registered number, VAT number if applicable, but we do not collect any credit card information (we use trusted third parties for payment processing). We may also ask you to provide additional information, such as company annual revenues, number of employees, or activity sector (optional categorization information). Required Contact Information, Billing Information, Tracking information as mentioned in 2-b and Optionnal Categorization Information are referred to collectively as "Data About EZC Customers"

4) Use of Information Collected
We use Data About EZC Customers to perform the services of the workspace. For example, your email address will be used by the participants of the workspace you are registered to, for the purpose of sending you information related to the processes, data and documents managed in the workspace.
EZC may also use Data About EZC Customers for marketing purposes. For example, EZC may use information you provide to contact you to further discuss your interest in the Services and to send you information regarding EZC and its partners, such as information about promotions or events. EZC might use Web Site Navigational Information to operate and improve our Web sites and services.
We will not sell or rent your personally identifiable information to anyone, except as described in this privacy policy (see "Business Transitions" below). We may share personally identifiable information about you to other companies or people when:
- Verification services need to do credit card checks, etc.
- We find that your actions on our web sites violate the Terms of Use.
- We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order, or legal process serviced on our Web site.
We do not share information with any third parties for their own marketing purposes.
Within the Service, and the same workspace, only other registered users can view your name, email, telephone, organization, etc. for the purpose of sharing documents, action plans, procedures and other information with you.
EZC might contract with third-party advertising networks that collect IP addresses and other Web Site Navigational Information on the Company’s Web sites and emails and on third-party Web sites. Ad networks follow online activities over time by collecting Web Site Navigational Information through automated means, including through the use of cookies. They use this information to provide advertisements about products and services tailored to your interests. When you contact us via links on our site or via email, your email address and information is kept only for the purposes of responding to your request and future requests that you may have. Any other information you provide may be used to respond and resolve your questions or issues if relevant.

5) Communications from the Site.
From within the Service, another user can invite you, if you are not already registered, to share documents, procedures or action plans with you. When this occurs, you can choose not to register and therefore not to accept the Terms of Use and this associated Privacy Policy by not clicking on the link contained in the invitation email. In this case, your account will remain inactive. You can opt-out of receiving notifications from us of events and special offers by sending an email via the web site contact feature. You can also change other personal information stored in My Account. You will receive notifications from the workspace, they are part of the business process implemented in the workspace and are sent under the responsibility of the participants whose actions trigger the email sendings. If you have not opted-out of receiving mailings, we will communicate (generally email, website, or Help documentation) with you to update EZC Service information, provide support, request feedback, provide marketing and service information, request marketing input, and provide special offers and incentives related to EZC's offers. We may post feedback comments from users as anonymous comments on our Web page. Non-identifiable, aggregate information may be shared with interested parties.

6) Account deletion
If you would like to delete your Account, you may contact your workspace administrator within your company to remove you from the address book. If you are the administrator and would like to cancel and delete your Team Documents Online workspace service, then send an email to This e-mail address is being protected from spambots. You need JavaScript enabled to view it . We will respond to all requests regarding access within 30 days.

7) Business Transitions

In the event EZC goes through a business transition, such as a merger, acquisition by another company, or sale of all or a portion of its assets, your personally identifiable information will likely be among the assets transferred. You will be notified via a prominent notice on our Web site for 30 days of any such change in ownership or control of your personal information.

8) Correcting and Updating Your Information
To update personnal information, please go to your account management feature inside your workspace. To update company and billing information, please contact us at This e-mail address is being protected from spambots. You need JavaScript enabled to view it with the subject "CINFO"

9) Customer data
Your Files, Documents and any other information (all together named herafter as "your data") stored in the Team Documents Online workspace service are yours and are treated as Private customer data. Data can only be seen by you and with those whom you share them according to the business process implemented in the service. Data in a Team Documents Online workspace can also be accessed by your workspace Administrator. EZC will not review, share, distribute, or reference any such Customer Data except for the purpose of providing the Services, preventing or addressing service or technical problems, at Customer's request in connection with support matters, or as may be required by law.

10) Security
Your data is protected with State of the Art Security. Secure Socket Layer (.SSL.) technology protects Customer Data using both server authentication and data encryption on the network. The site has security measures in place to protect the loss, misuse and alteration of the information provided to us. The servers are maintained in the secure, safe environment of your choice from our datacenter options, with level of resilience of up to Tier IV. These technologies help ensure that Customer Data is safe, secure, and only available to the Customer to whom the information belongs and those to whom the Customer has granted access. Customers are responsible for maintaining the security and confidentiality of their Team Documents Onine usernames and passwords, and third party usernames and passwords when using such third party authentication.

11) Changes to this Privacy Statement
EZC reserves the right to modify this privacy statement at anytime, so please review it frequently. If we decide to change our privacy policy, we will post those changes to this privacy statement, the home page, and other places we deem appropriate.
